Elite Japanese Study Guide: Mastering Formal Announcements (JLPT N2)

In the professional and public spheres of Japan, formal announcements (お知らせ - Oshirase) rely on a highly stylized, polite register. To master N2-level Japanese, you must transition from conversational polite Japanese (Desu/Masu) to the sophisticated, humble, and honorific patterns used in corporate notices, public service announcements, and business emails.

1. Core Grammar Patterns for Announcements

Formal announcements prioritize softening direct statements to show maximum respect to the reader or customer. Here are three essential N2 patterns you will encounter:

A. ~に際して / ~に際し (On the occasion of / At the time of)

  • Form: Noun / Verb (Dictionary form) + に際して
  • Meaning: Used when starting, performing, or facing a significant event. It is the formal equivalent of ~のとき.
  • Example:
    • 新店舗のオープンに際し、特別なキャンペーンを実施いたします。
    • Shin-tenpo no ōpun ni saishi, tokubetuna kyanpēn o jisshi itashimasu.
    • On the occasion of the new store opening, we will run a special campaign.

B. ~かねます (Cannot / Unable to)

  • Form: Verb (Masu-stem) + かねます
  • Meaning: Politely refuses or expresses inability to do something. It avoids the bluntness of できません (dekimasen).
  • Example:
    • 事前のご予約がない場合、ご案内いたしかねます
    • Jizen no go-yoyaku ga nai baai, go-annai itashikanemasu.
    • We are unable to guide you without a prior reservation.

C. ~ようお願い申し上げます (We kindly request that you...)

  • Form: Verb (Dictionary / Nai-form) + よう(お/ご)[Noun/Verb] 申し上げます
  • Meaning: A humble, highly respectful way to ask customers or the public to do (or not do) something.
  • Example:
    • 館内ではマスクを着用いただきますようお願い申し上げます
    • Kannai de wa masuku o chakuyō itadakimasu yō onegai mōshiagegamasu.
    • We kindly request that you wear a mask inside the building.

2. Anatomy of a Real-World Announcement

Analyze the structure and vocabulary of this standard facility maintenance notice:

【重要】電気設備点検に伴う臨時休館のお知らせ

平素は格別のご愛顧を賜り、厚く御礼申し上げます。

さて、電気設備点検に際し、誠に勝手ながら下記の通り臨時休館とさせていただきます。
お客様にはご不便をおかけいたしますが、何卒ご理解賜りますようお願い申し上げます。

Key Vocabulary & Phrase Breakdown:

  • 平素は格別のご愛顧を賜り (Heiso wa kakubetsu no go-aiko o tamawari): "Thank you very much for your exceptional patronage." This is the gold-standard opening line for any business announcement.
  • ~に伴う (ni tomonau): "Due to / Accompanying..." (N2 grammar indicating cause).
  • 誠に勝手ながら (Makoto ni katte nagara): "We selfishly beg your indulgence..." (A set phrase used to introduce an inconvenience caused by the announcer).
  • ~とさせていただきます (to sasete itadakimasu): "We will take the liberty of doing..." (Causative humble form; softer than ~します).
  • 何卒ご理解賜りますよう (Nanitzo go-rikai tamawarimasu yō): "We humbly ask for your understanding." (Taimawaru is the humble equivalent of morau).

3. Quick Practice

Transform the following casual instructions into N2-level formal announcements.

  1. Casual: チケットの払い戻しはできません。
    • Hint: Use ~かねます.
    • Formal: チケットの払い戻しはいたしかねます
  2. Casual: 静かにしてください。
    • Hint: Use ~ようお願い申し上げます.
    • Formal: お静かにしていただきますようお願い申し上げます

💡 Tutor's Pro-Tip

When writing or reading formal Japanese, never use direct, active verbs for your own actions if they affect the customer. Instead of saying "We are closing" (休館します), use the causative-humble "We are allowed to close" (休館とさせていただきます). This linguistic humility is the secret to sounding natural and professional at the N2 level.
